Privacy Policy

This Privacy Policy explains what personal information we collect, why we collect it, how we use and protect it, and the choices you have. Remotria is a Canadian company, and we handle personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws.

1. Who we are

Remotria Inc. is a managed services company incorporated in Ontario, Canada, with its office at Suite 640, 181 King St W, Toronto, ON M5V 1K7. We provide managed remote-access services to Canadian businesses. Our privacy contact is [email protected].

2. What we collect

Information you give us. When you use our contact form, email us, or speak with us, we receive the details you provide: your name, work email address, company name, team size, phone number if shared, and the content of your message. When we enter a service agreement, we collect business contact information needed to deliver the service.

Information collected automatically. Like most websites, we receive basic technical data when you visit the Site, such as browser type, device type, pages viewed, and the date and time of your visit. This comes from cookies and similar technologies, described in our Cookie Policy, and is used in aggregated form to keep the Site working and understand what content is useful.

Information from clients. When we provide managed services to a client organization, we may handle access-related records on that organization's behalf — for example, identity records and activity logs. In that context, the client organization is the controller of the information and we act as a service provider under a written agreement. Questions about such records should first be directed to the client organization.

3. How we use personal information

We use personal information to: (a) respond to inquiries and provide information about our services; (b) prepare proposals and service agreements; (c) deliver and support managed services; (d) send administrative communications such as invoices and service updates; (e) improve the Site and our services; (f) meet legal, tax, and accounting obligations; and (g) protect the security of our systems and clients. We do not sell personal information, and we do not use it for advertising profiling.

4. Consent

We collect, use, and disclose personal information with your consent, except where the law permits collection without consent (for example, for legal or security purposes). Consent may be express or implied, depending on the circumstances and the sensitivity of the information. You may withdraw consent at any time, subject to legal and contractual restrictions, by contacting us. Withdrawal may limit our ability to provide certain services.

5. Disclosure

We do not sell or rent personal information. We share information only with service providers that help us operate — such as our web hosting provider, email provider, and payment processor — and only to the extent needed to perform their role. These providers are required to protect the information. We may also disclose information where required by law, court order, or government authority, or to protect the rights, property, or safety of Remotria, our clients, or the public.

6. Retention

We keep personal information only as long as necessary for the purposes described in this policy or as required by law. Inquiry messages are retained for up to 24 months after the last interaction; client records are retained for the term of the agreement plus the period required by applicable tax and accounting rules; billing records are retained as required by the Canada Revenue Agency. When information is no longer needed, we destroy or anonymize it securely.

7. Security

We apply reasonable administrative, technical, and physical safeguards to protect personal information, including encrypted connections, access controls, and staff confidentiality obligations. While no method of transmission or storage is completely secure, we work to protect the information in our care and respond promptly if a problem occurs.

8. Your rights

Under PIPEDA and applicable provincial laws, you have the right to: (a) access the personal information we hold about you; (b) challenge its accuracy and request correction; (c) withdraw consent, subject to legal limits; and (d) ask questions about our handling of your information. If you are unsatisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.

9. Children's privacy

The Site and our services are directed to businesses and to individuals aged 18 and older. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will delete it promptly.

10. International transfers

Our team is based in Canada, and client data handled in the course of managed services is generally processed in Canada. Service providers we use may store data in Canada or the United States. Where information is transferred, we rely on contractual protections and applicable legal mechanisms to keep it protected. Your design documentation always describes where data flows, so there are no surprises.

11. Third-party links

The Site may link to third-party websites or services. Those services have their own privacy policies, and we encourage you to read them. We are not responsible for the practices of third parties.

12. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected in the “Last updated” date above and, where appropriate, communicated to clients and registered contacts. Continued use of the Site after changes take effect means you accept the revised policy.
